Part-Time Administrative Assistant

We are seeking an experienced, tech savvy, emotionally intelligent part-time assistant to work remotely for approximately 20 hours per week starting around May 26th. Assistant will spend approximately 10-15 hours per week providing admin support for a grant funded project ProjectInsideOut.net and 5-10 hours per week supporting the founder of the project, climate psychologist Dr. Renee Lertzman. Assistant will interface with multiple team members and will wear many different hats in a fast paced environment filled with brilliant high achievers who care deeply about people and the planet.

Required Technical Skills / Application Knowledge

  • Mac Platform, iOs and Mac Apps (Mac Mail, iCal, etc.) - heavy calendaring
  • Google Accounts - managing the use of multiple G suites
  • Google Apps - heavy Google Drive organization and doc creation
  • Zoom - meeting scheduling, invite management and technical support during meetings
  • Asana - large project management and smaller task tracking
  • Mailchimp - newsletter creation, list management and campaign execution
  • Doodle Poll - team scheduling and coordination
  • WordPress and/or Square Space - updating web page info like events and articles
  • Slack - project and team communication


Required General Admin Skills & Experience

  • Heavy calendar management
  • Scheduling with internal and external stakeholders 
  • Contact list management
  • Email inbox management
  • Note taking during meetings
  • Transcription of recorded meetings
  • Organization of electronic files
  • Editing/downloading/uploading/dissemination of videos/pictures
  • Survey creation/dissemination and tracking of survey results
  • Presentation creation using Google Slides/Keynote/Powerpoint
  • Account management and troubleshooting of tech accounts
  • Research


Our ideal candidate is:

  • someone who has experience and references to support their track record
  • looking for at least 20 hours of work per week, open to increasing over time
  • willing to be flexible to work different or more hours during peak project / busy times
  • willing to respond to urgent requests outside of scheduled work hours
  • able to manage competing priorities while remaining calm and productive 
  • open to working a creatively split shift 8-11am and 2-4pm PDT or from 8am-1pm PDT
  • someone who could be located anywhere if flexible and available when needed
  • technically set-up and experienced working from home
  • someone who has studied or is interested in psychology and is a nature lover / environmentalist
  • someone who has a sense of humor and a curious, glass-half-full personality
  • patient and compassionate but also honest and willing to speak their truth


This is a part-time, independent contractor position. Length of engagement is until October, with possibility for ongoing employment. Compensation will be paid hourly in the $20-$25 range, dependent on skills and experience.
